How Namaste Mart unified 7 grocery branches on one billing & inventory platform

Background
Namaste Mart started as a single corner store in Patan in 2014. By 2024 it had grown to seven branches across Kathmandu Valley, but each branch still operated as its own island — a desktop POS for billing, an Excel sheet for stock, and a printed register for cash close. The owner couldn't answer 'what did we sell across all branches yesterday?' without three phone calls.
The challenges

What we did
Migration on a fiscal-year boundary
We migrated Namaste Mart on Shrawan 1, 2081 — a clean fiscal-year boundary. Only opening balances, items, customers, and suppliers came over; no historical transactions. The whole import was validated with a sample week of bills before going fully live.
One catalog, seven branches, real-time stock
Every SKU now lives in a single product catalog. Branch managers see live stock per branch, and transfers are recorded as a two-sided entry that updates both warehouses instantly. The 'who has the missing crate of cooking oil' argument is gone.
Cashier-friendly POS with role-based access
Cashiers got a stripped-down billing screen with only the buttons they need. Branch managers got a wider view with returns and discounts. The owner and accountant got full access. Onboarding a new cashier now takes about 30 minutes.
Automatic day-end close
VedaMS now reconciles cash, card, and digital payments against billed sales automatically. The branch manager confirms three numbers and locks the day. What used to be a 2-hour exercise is now a 15-minute review.
