VedaMS Pvt. Ltd. ("VedaMS", "we", "us", "our") provides cloud-based billing, POS, inventory, and reporting software to businesses in Nepal. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have.

By creating a VedaMS account or using our website, you agree to this policy.

We collect information in three categories:

• Account information — name, business name, email, phone, PAN/VAT number, and billing address provided when you sign up or contact us.
• Business data you enter — customers, items, invoices, purchases, stock movements, payments, and reports created in your VedaMS account.
• Technical data — device, browser, IP address, session timestamps, and usage logs needed to operate, secure, and improve the service.

We use the information we collect to:

• Operate, secure, and improve the VedaMS platform.
• Provide customer support and onboarding.
• Send service-related messages (billing, security alerts, maintenance notices).
• With your consent, send occasional product updates or educational content.
• Detect and prevent fraud, abuse, and security incidents.

We do not sell your information. We do not share your business data with advertisers.

We share information only with trusted infrastructure providers who help us run the service (e.g. our cloud host, payment processor, email delivery). All such providers are contractually bound to protect your data and use it only for the services they perform for us.

We may disclose information when required by Nepali law, a valid court order, or to protect the rights, property, or safety of VedaMS, our users, or others.

Data is encrypted in transit (TLS 1.3) and at rest (AES-256), with role-based access controls, hourly automated backups, and continuous monitoring. See our Security page for the full technical posture.

VedaMS data is hosted on AWS Mumbai (ap-south-1). Backups are retained for 30 days. If you cancel your subscription, your data remains available for export for 30 days, after which it is permanently deleted from our active systems and from backups within the next backup-retention cycle.

You can:

• Access and export your business data at any time.
• Correct inaccurate personal information.
• Request deletion of your personal information.
• Withdraw consent for marketing communications.

VedaMS is a business product and is not intended for users under the age of 18. We do not knowingly collect information from children.

We may update this policy as the service evolves. Material changes will be communicated via email or in-app notice at least 14 days before they take effect.
